3EX.NET Can be configured to manage all of your Product Content, from basic coding structures through to HTML Web Content.
The main product entry screen allows the user to search for those products which they wish to edit. As per all the search screens on the system, the Product Search area is split into three sections, a user definable data grid, a user definable data panel and a search section. Tabs along the search section at the bottom of the screen, help the user to narrow down their search.
Products are managed through 3EX, by using the Product Wizard. This wizard will either guide the user through the steps of creating a new product, or allow them to easily jump to the relevant area when editing existing products. The first step of the wizard, determines the type of product and allows entry of a simple code and description, along with the selection of a "Stock Control Group" and a "Product Class".
The Product Can be created as either a "Standard" product or a "Variant Base" product. Variant products are used where the user wishes to create multiple products of the same style, but where certain attributes vary. For example, a T-Shirt may be sold in a number of different Sizes and Colours. The Variant Base product would be the T-Shirt, variant codes would then later be created for each of the different sizes and colours, this is dealt with by the Product Variant Products step which is detailed later on in this document.
The Product Code on 3EX.NET can be up to 30 characters long. But for the fact that the code must be uppercased and must not include any spaces, the Product code can follow any format you wish. The product description is entirely free text and can be up to 100 characters long.
The Stock Control Group and the Product Class are entities known as "Product Group Usages". As standard, these are the only Product Group Usages available on the system. Product Groups are used to control the behaviour of the system when dealing with certain products. Product Groups can also be used for sales analysis. It is possible to create any number of different product groups, enabling you to analyse sales across any cross section of your products. However, creating new product group usages would require a Change Request.
Product Group Usages have linked Product Groups. For example, the Stock Control Group Usage, has the following Groups linked to it:
What Does It Do?
Back to Back
When a Sales Order is taken for a Back to Back product, a Purchase Order will automatically be raised.
Chargeable Items do not require stock. This option would be used when you wish to create a product for services, such as “Installation”
When a Sales Order is taken for a Drop Ship product, a Purchase Order will automatically be raised, which will instruct the Supplier to dispatch the goods directly to the Customer.
Tangible Stocked Item
An item you would normally stock in your warehouse.
Top Level BOM Product
Only used when Bill’s of Materials (Kits) are being used. The Bill of Materials functionality is only available by way of Change Request.
Additional Stock Control Product Groups can only be added by way of Change Request.
The Product Class Group Usage is simply used for reporting purposes. Product Classes are user definable and you are able to change these and add new Classes as you see fit, via way of the Product Class menu option.
The Product Properties step of the Product Wizard allows the user to store basic details about the product, such as weight and Vat type to use. For example, Books and Children's Clothing would ordinarily have a Zero Vat rating. This step can also be used to store product weights and to discontinue products, where the items are no longer available for sales.
The Discontinuation of products can either be immediate or the system be set to automatically Discontinue an item as stock is exhausted.
Product Related Data
Related Data can be used to store any extra information you may need to store against a product. Related Data elements are entirely user definable and can take the form of Simple Text, Dates, Values, Check Boxes, Selection Boxes or even HTML text.
Product Suppliers and Costs
3EX.NET Will allow you to store multiple Suppliers against a Product, along with the Cost at which you can expect to typically pay for the product from each supplier. This cost is generally just a guideline, though the system will use this cost where no stock records exist from which to obtain a FIFO or FIFO Average cost.
Sales Pricing Matrix
The Sales Pricing Matrix allows a product to have multiple selling prices. These may be as simple as a Retail and Trade price, or perhaps a different selling price depending on the website on which the product is being sold. As standard a single price is held against a product. Multiple price lists or Matrix Points can be created by way of a Change Request.
The Pricing Matrix can be configured to allow price points to default from other price points within the matrix, perhaps with a % increase / decrease. For example, it is possible to store a price for a product of £10 for website A. The Website B price could be configured to automatically calculate using the Website A price + say 10%.
The Product Notes step of the Product Wizard is actually embedded into the Sales Pricing Matrix step so that notes can easily be added as and when prices are changed.
The Product Alias Step allows alternative codes to be stored against the product. As standard, the system will allow creation of either Supplier Product Codes or Barcodes. Additional Product Alias Types can be added to the system via way of Change Request, should you wish to store ISBN Codes, Manufacturer Codes, or any other alternative reference.
It is also possible to store an alternative product description. Product Alias Related Data can be created to allow you to store any information you wish against a product alias. Where a Supplier Alias is created, this will automatically be printed on the Purchase Order.
The Product Notes step allows the user to create internal notes against the product. Any notes created will be automatically date and user stamped so it is clear who created the notes and when. Product Notes can be categories and the following Product Notes categories exist as standard.
- General Notes
- Pricing Notes
- Technical Notes
Additional Product Notes Categories can be created by way of Change Request.
Detailed Product Description
The Detailed Product Description step simply allows the user to store a more detailed product description. Data entered into the Detailed Product Description will be included in product searches, when the search is set to search by either Code and Description or Description.
It is possible to store multiple Detailed Product Descriptions by way of Change Request.
Product Web Details
The 3EX.NET eCommerce suite is directly integrated with the 3EX.NET Back Office, as such adding a product to or removing a product from your website couldn't be easier and is managed via the Product Web Details step.
