Sales Ledger Credit Control allows multiple functions such as Statements, Aged Debt Reporting and Debt Chasing to be performed from a single screen.
In a Business to Business environment it is necessary to be able to check for overdue accounts, put accounts on hold and record debt chasing activities. The Credit Control function can be split into several steps within 3ex.net, each step allowing the user to define which customer accounts they wish to deal with easily. The first step to this process is to select a pre-defined template, the standard 3ex.net system allows you to setup multiple pre-defined templates; such as Aged Debtor Reports based on different time frames. In the example below the Aged Debtors Report template has been selected.
Once the user has selected the template, they will be able to amend any of the predefined criteria in order to produce a list / summary of debtors.
Based on the criteria entered in the previous step, the Credit Controller then moves onto the Account Reporting Summary step. Based on the criteria, 3ex.net then produces a list of accounts that meet that criteria and displays them as a debtors report to screen, including total amount owed and age of debt.
Once the list has been produced, then the user can deal with each account in turn without having to navigate away from this screen. To view the transactions that make up the value of debt belong to the account the Credit Controller can double click on the highlighted Customer and this will breakdown into the transactions. (This can be skipped if the user wishes to produce a Statement run or Debtors Listing based on the criteria entered on the first step)
The Credit Controller can select individual transactions and add notes to those transactions. They can also add payments directly to the Sales Ledger. (see Account Enquiry and Payment Allocation for further details). Accounts and transaction lines can be deleted from the summary step and the listing refreshed each time a payment is made on an account by clicking the highlighted icon in the toolbar. This allows the Credit Controller to refresh and review the debtors listing until such time when they are happy to move to the next step.
Credit Control function allows printing of documents such as statements for the those customers who remain with an outstanding balance on their account. The Account Reporting Print step allows the Credit Controller to again select which of those customers they wish to send a statement to by un-checking the tick boxes against those customer who will not be receiving a statement.
The Credit Controller can choose to skip past both the Account Reporting Summary and Account Reporting Print steps, if only a report is required. The standard 3ex.net system offers two reporting options; Brief Aged Debt Report and a Detailed Aged Debt Report. The reports will pull through the regenerated details from the Account Reporting Summary step.
